The System

At its core, the system does one thing: it makes sure every lead you receive gets an instant, personalised response and a structured follow-up — without you manually doing anything.

When a lead enquires on Property24, Private Property, Facebook, Instagram, or your website, your system catches it, sends them a WhatsApp or SMS within 60 seconds, adds them to your CRM pipeline, and begins a follow-up sequence that runs automatically over 45 to 120 days depending on your plan. On top of that, it handles viewing bookings, missed-call text-back, post-deal review requests, and performance reporting. Everything is built, configured, and managed by us — you just show up for the viewings.

Both portals send you an email notification every time a lead enquires on one of your listings. Our system monitors those notification emails, automatically extracts the lead's name, phone number, email, and the property they enquired about — and fires the WhatsApp or SMS response within 60 seconds of that email arriving.

We don't need any special API access to Property24 or Private Property. It works entirely through the notification email they already send you.

This means it works regardless of whether Property24 or Private Property ever grants direct integration access. The email method is reliable, tested, and runs 24/7.

No — if we've done our job correctly. During onboarding we ask how you naturally communicate with clients: formal or conversational, what you typically say in a first message, the tone that represents your personal brand. We write all your sequences to match that voice. Every message includes the lead's name, the specific listing they enquired about, your name, and your agency. To a lead receiving it, it reads exactly like you typed it personally.

If at any point a message doesn't sound like you, we rewrite it. That's part of ongoing management.

Yes. The system runs on cloud servers completely independent of your local power supply. Load shedding at your end has zero impact on whether a lead gets responded to. Your system keeps running through Stage 6, overnight, over weekends, and while you're out on a viewing with your phone on silent.

Yes. On Growth and Agency plans, we set up separate pipelines and sequences for buyers, sellers, and renters — because the conversations are completely different. On Launch, we build a single pipeline adapted to your primary focus, with the option to upgrade when ready.

They stay in the system and the sequence keeps running at lower frequency until they respond, unsubscribe, or reach the end. On Growth and Agency plans, we also build a cold lead re-engagement sequence — a separate set of messages specifically designed to restart conversations with leads who went quiet.

Many property leads are 3–6 month buyers. A sequence running for 75–120 days catches the ones who weren't ready when they first enquired.

Category 02

Setup & Onboarding

Very little. Once you sign on, we send you a short onboarding questionnaire. Most agents complete it in 15 minutes. We ask for your name and agency details, your Property24 and Private Property email notification addresses, your business WhatsApp number, your property focus and geographic area, your logo and brand colours, and your preferred communication tone. That's it — we build everything from there.

5 to 7 business days from when we receive all your onboarding information. The most common delay is agents taking longer to provide brand assets. Get us everything on Day 1 and you can be live by Day 7.

The 5–7 day timeline is an estimate, not a guarantee. We communicate any delays promptly.

To use those specific integrations, yes — you need an active listing presence and their email notifications. If you're not on those portals yet, the system still works through Facebook Lead Ads, your website, Instagram, and direct WhatsApp enquiries. Portal connections are added the moment your portal presence is active.

Not a problem. You can run both in parallel initially, or we migrate your current contacts into the new system. Most agents who come to us aren't using a true CRM — they're on a spreadsheet, their phone's contact list, or just WhatsApp chats. Either way, we handle the transition.

Minimal training, by design. At go-live we send a short walkthrough covering three things: where to find your leads in the pipeline, how to move a lead from stage to stage, and how to use the AI tools. That's all you need. The automation runs without you touching it.

The system handles it. When a lead enquires on a specific listing, the automated response references that exact property. If you have 20 active listings, the response to a lead enquiring on listing #7 mentions listing #7 specifically — every time, automatically.

Category 03

Cost & Contracts

Two components: a once-off setup fee and a monthly subscription.

  • Launch: R4,500 setup + R2,500/month
  • Growth: R6,500 setup + R3,500/month
  • Agency: R15,500 setup + R2,800/seat/month (minimum 5 seats)

The setup fee splits into 3 equal instalments — first instalment is paid with your first month's subscription and the system goes live immediately. The remaining two instalments are billed over the following two months. A 15% annual discount applies when paying the full year upfront.

No long-term contract on the monthly subscription. It's month-to-month with 30 days' written notice to cancel. The only commitment is the setup fee — we spend real time building your system and that work is done whether you stay or leave.

Yes. Give us 30 days' written notice before your next billing date and your subscription ends at the close of that period. No cancellation fees on the subscription itself.

If you're on an instalment plan for the setup fee and cancel mid-way, the remaining instalments are still legally due — they compensate for work already completed, not for ongoing service.

No. The setup fee is non-refundable under all circumstances. By the time you're asking for a refund, we've already spent 5–7 days building your system — writing your sequences, configuring your pipelines, testing your integrations. That work doesn't disappear if you change your mind.

Your data is yours. When you cancel, you have 30 days to request a full export of all your leads, contacts, and pipeline history in a standard format importable into any other system. After 30 days, your subaccount is closed. We don't hold your contact list hostage.

No hidden fees. The setup fee and monthly subscription cover everything — the build, the platform, the automation, the sequences, the support, the reporting, and ongoing management. The only scenario where additional costs arise is bespoke custom development outside your plan scope, which we quote and get your approval on before proceeding.

Yes. Upgrade at any time — additional setup work is quoted separately and the new rate takes effect from the next billing cycle. Downgrade with 30 days' notice. We walk you through exactly what changes before it happens.

It depends on your lead volume, market, and listing activity. What you will see immediately from Day 1 is every new enquiry getting a response within 60 seconds and entering a structured follow-up sequence automatically. That alone puts you ahead of the majority of estate agents in South Africa still relying on manual follow-up.

Agents with consistent Property24 enquiry volumes typically see measurable improvement in viewings booked within the first 30 days — simply because leads are being responded to before a competitor does.

Note: We do not make income guarantees. Anyone promising you a specific number of deals or a specific rand return is not being honest with you.

Put it in context. A single residential sale commission in most SA markets is between R15,000 and R60,000+. If the system helps you convert one additional lead per quarter that you'd otherwise have lost to slow follow-up, it pays for itself multiple times over.

The more honest question is: how many leads are you currently losing because you responded too slowly or didn't follow up consistently enough? If the answer is at least one or two a month, the system pays for itself before the second billing cycle.

The system functions from Day 1. In terms of converted deals: most SA buyers are 30–180 day decision makers. The sequences run for 45 to 120 days specifically because that's where the property buying cycle lives. The leads who weren't ready in Week 1 are often ready in Month 3.

If your lead volume is genuinely very low — less than a handful per month — the immediate ROI case is harder to make, and we'll tell you that honestly on the strategy call. The system's value scales with lead volume. If lead generation is the primary problem rather than follow-up, that's a separate conversation and we can advise on what might help.

Your monthly performance report shows exactly what's happening: how many leads came in, how many received an automated response, how many opened follow-up messages, how many booked viewings, and where each lead sits in your pipeline. You also have live dashboard access at any time — every lead visible, every communication logged. On your monthly check-in call we go through the report together and flag anything needing adjustment.

Technical

GoHighLevel (GHL) — a professional CRM and automation platform used by agencies worldwide. Each client gets their own dedicated GHL subaccount with their own CRM, pipelines, automations, calendar, and reporting. You don't need a GHL account or login. We provision and manage everything on your behalf as part of the service.

Yes. All data is transmitted over encrypted HTTPS/TLS connections. Your subaccount is isolated — only you and Altitude Digitals (in our management capacity) have access. We handle all personal information in compliance with POPIA. Our full Privacy Policy is on the website.

The WhatsApp Business API requires a dedicated number registered through the API — in most cases separate from your personal WhatsApp. We walk you through the number setup during onboarding and advise on the best configuration for your situation. Some agents use an existing API-compatible number; others set up a dedicated automation number. We find the right solution on the strategy call.

GoHighLevel is a large platform with hundreds of thousands of users. Short-term outages are rare and typically resolved within hours. In any disruption we communicate immediately and monitor resolution. All client data can be exported, so nothing is ever exclusively locked inside GHL.

The automated responses go to people who have actively enquired on your listings — they initiated contact, which is a lawful basis under POPIA and the ECT Act. Every sequence includes an opt-out mechanism, and any contact who unsubscribes is removed immediately and flagged in your CRM.

Yes. GoHighLevel has a mobile app on iOS and Android for viewing your pipeline, checking lead communications, and monitoring your dashboard. You don't need to check it for the system to work — automation runs without you looking at it. The app is there when you want visibility, not because you have to monitor anything.

Support & After Go-Live

Your monthly subscription pays for active management — not just software access. In practice that means monitoring automations are firing correctly, reviewing sequence performance and rewriting underperforming messages, updating the system when your business changes, applying platform improvements, producing your monthly report, and running your check-in call. Think of it as a dedicated system manager included in your fee.

  • Launch: Email support, response within 1 business day for non-urgent issues.
  • Growth: Priority WhatsApp support, faster response for urgent issues.
  • Agency: Dedicated account manager with a direct line.

For critical issues — a complete automation failure — we treat those as urgent regardless of plan tier and respond as quickly as possible.

Yes — that's part of ongoing management. Minor changes (rewording a message, adjusting timing, adding a contact to a sequence) are included in the monthly fee. Significant additions — like building a completely new pipeline for a new business line — are scoped and quoted separately.

Your system is tied to you as an agent, not your current agency. If you move, we update your system with new branding and contact details — usually within 2–3 business days. Your lead history, pipeline data, and contact list stays with you regardless of which agency you operate under.

We go through your monthly performance report together — leads in, responses sent, follow-ups opened, viewings booked, pipeline movement. We flag anything underperforming, discuss any changes in your business, and make any adjustments to the system. It's a short, focused call — not a long debrief. Growth and Agency clients get bi-weekly calls instead of monthly.
